Start by giving every item a clear, descriptive name, then record the player, team, sport, item type, year and condition. At minimum: player or athlete, team, sport, item type, year, and condition. Add purchase price, date acquired, and where you bought it for a complete acquisition history. For authenticated or graded items, record the authentication or grading company, certification number, and grade. Round it out with a storage location, photos, notes, and a current estimated value. That combination covers organization, valuation, and documentation in one record.
Record an estimated value for each item, and check it periodically against recent comparable sales. Relic Roster shows eBay sold comps for an item so you can see what similar pieces have actually sold for, then decide whether to update your recorded value. Your collection's total value is the sum of what you've recorded — not a live feed — so it stays accurate only if you revisit values from time to time.
Keep authentication documentation attached to the specific item it belongs to, not in a separate folder you have to cross-reference later. Record the authentication or grading company (PSA, BGS, SGC, JSA, Beckett Authentication, or another authority), the certification number, and the grade, and attach a photo of the certificate or slab to the item's record. That way the documentation and the item stay together permanently.
